This privacy policy covers the Caelia website. Use of the Caelia on-premises software is subject to the privacy information and, where required, data processing agreement associated with your contract.

2. Website delivery
The web server processes connection information required to serve the website, including IP address, time, requested resource, HTTP status, browser and operating system information. We use this information to serve the website, diagnose errors and protect the website. The legal basis is Article 6(1)(f) GDPR. Our legitimate interest is secure and reliable operation. The hosting provider and actual log retention must be selected and disclosed here before production use.
3. Contact and contractual declarations
When you contact us or submit a cancellation or withdrawal declaration, we process your name, email, message and, if applicable, contract reference, product, requested date and reason. We use this information to handle your request and establish or perform a contract (Article 6(1)(b) GDPR), or to communicate based on our legitimate interest (Article 6(1)(f) GDPR). We store declarations with a receipt timestamp and reference. We delete the information when we no longer need it for these purposes. Statutory retention duties and the preservation of legal claims still apply. Hosting and email providers must be identified before production use.
4. Necessary storage
A session cookie and security mechanisms protect forms and administrator sign-in. Your browser stores your privacy choice locally. The website asks for your choice again after six months. This is used solely to provide requested functions and respect your choice (section 25(2)(2) TDDDG; Article 6(1)(f) GDPR). Fonts, images and videos are served locally. Third-party video players are not loaded automatically.
5. Optional Matomo analytics
With your consent we use Matomo for statistical analysis (Article 6(1)(a) GDPR and section 25(1) TDDDG). Matomo is self-hosted by kuhla.tech in Bremen, Germany, at analytics.kuhla.tech. kuhla.tech states that IP addresses are anonymised. The website loads the Matomo script and sends analytics requests only after you agree. The tracker is configured without analytics cookies. It can process page views, referrers, timestamps and technical device information. Form data, confirmation pages and receipts are excluded. Actual retention and anonymisation settings must be verified in the Matomo installation and disclosed here before publication.
Consent is voluntary and can be withdrawn at any time for future processing through . Rejecting analytics does not limit website use. The tracker respects Do Not Track.
6. Recipients and international transfers
Access is limited to authorised personnel and providers required for hosting or email. Matomo is hosted in Germany. Further recipients, processors and any international transfers must be disclosed based on the final hosting and email configuration.
7. Your rights
Subject to the applicable conditions, you have rights of access, rectification, erasure, restriction and portability (Articles 15–20 GDPR). You may withdraw consent for future processing and object to processing based on legitimate interests on grounds relating to your situation (Article 21 GDPR). Contact kontakt@caelia.tech. 8. Automated decisions
This website does not use automated decision-making with legal effects or equivalent profiling.
Google reCAPTCHA in the contact form
With your explicit agreement in the contact form, we load Google reCAPTCHA v3 to detect automated requests. Connection information such as your IP address, browser, device and interaction data is sent to Google. Cookies may be set and processing in the USA may occur. Our server also checks the responses with Google. Loading is based on your consent; you can contact us by email or phone without loading it. See Google privacy policy and Terms of service. Review the actual provider and transfer configuration before activation.
